Completing and submitting parish reports

Fill in Annual and OCD reports, understand autosave and diocesan visibility, and make corrections after submission.

Reports lets your parish complete the Annual Parish Pastoral Report and Official Catholic Directory (OCD) update for cycles opened by your diocese. The diocese sets the reporting year, template, and deadline. Your account needs the appropriate reporting permissions to edit or submit.

Open the correct form

  1. Open Reports from your parish dashboard.
  2. Select the report type and reporting year you need to complete.
  3. Check the title, deadline, and disclosure at the top of the form.
  4. Review any answers already filled from parish information on file.

If no reporting cycle is available, ask your diocese whether it has opened the correct type and year. Annual and OCD are separate reports; completing one does not submit the other.

Complete the sections

Use the Report section dropdown to jump to a part of the form, or Previous section and Next section to work through it in order. Follow each field’s help text and fill all required questions, marked with an asterisk. The progress indicator shows how much of the required information is complete.

Answers save automatically as you work. Wait for All changes saved before leaving the page. Use Save now to save pending changes immediately. If you see Save failed, keep the page open, resolve the error, and retry with Save now before assuming your latest work is stored.

The diocese can see your draft after its first successful autosave. You can return to finish later. Both saved drafts and submitted reports are visible to authorized diocesan users. Review prefilled figures and correct anything incomplete or out of date rather than assuming that the stored value is right for this return.

Review and submit

Open Review and submit to check the required-field count and any missing answers. Follow a missing-field link to return to that question, resolve the listed issues, then choose Submit report when the form is complete and ready.

Submission freezes a snapshot of the answers and locks the stored figures connected to that report. The form shows its submitted status and becomes read-only. Autosave alone does not perform this final submission.

Use CSV to download the answers or PDF to open the browser’s print workflow and save a copy. These controls are also useful when reviewing the report with colleagues.

Correct a submitted report

A parent-diocese administrator must reopen a submitted report and provide a reason before you can make corrections. Contact the diocesan reporting team and explain what needs to change.

When reopened, the form displays Correction requested and the reason. Make the changes, check autosave, and submit again. The report history records the correction workflow.

Resolve a blocked form

If another person has saved a newer version, follow the conflict message and reload before continuing; review the current answers before re-entering changes. Coordinate with colleagues to avoid editing the same report at the same time.

A closed or archived cycle, a submitted snapshot, or insufficient permissions can also prevent editing. Ask your diocese or parish owner to check the relevant condition. Submitting inside Catholic Intelligence records the report in this workflow; follow any separate instructions your diocese gives for delivery to an outside recipient.
